ENTERING THE AWARDS

How do I register?

From selection to submission, the process has been simplified. To get started, create an account on the online awards management system (Evalato). This process only takes about 2 minutes.  Once completed, you will receive an email with your secure login details from the Evalato system.

The "buy now, choose later" option explained.

The Buy Now Choose Later feature secures your entries at current rates as a placeholder. Once you are ready, email your category/award names to awards@learnx.live. The team will activate your categories and send a private link to enter your submission details before the deadline.

What are the 4 easy steps to enter the awards?

1: Select your award applications.
2: Enter your details to create an account.
3: Make your payment online.
4: Complete all criteria and submit anytime up to the deadline on Fri 4 Sept 2026.

What are the entry options?

You can enter one or multiple awards. You can use the same project, solution, or program for various award categories, but you must meet the specific criteria for each award. Each category is considered a separate application. The system allows you to switch between application forms, so you can work on multiple entries before submission.

How many awards can I enter?

There is no limit to the number of entries you can submit, and you can enter multiple categories with the same entry. However, make sure to tailor your entry to each specific category to increase your chances of scoring higher during the judging process.

Can I return to enter more awards?

Yes. You can return to purchase additional applications before the final deadline, Fri 4 Sept. However, you will need to create a new registration for this and add the extra application(s).

Can I work on more than one application?

Yes. You can work on multiple applications.

What is the acceptable language for applications, etc.?

All applications must be submitted in English, including all online submissions through the Evalato Portal and any accompanying attachments or digital assets.

Can I use AI technology to help with award applications?

Yes, AI tools can be used to help create LearnX Award applications, but they should not be relied on exclusively. It is important to clarify your submission with specific facts, data, and details to strengthen your narrative. Participants are accountable for the accuracy of the information they provide.

PAYMENT

How do I pay for my application(s)?

Payment can be made securely online by credit card in the awards management system (Evalato) at the time of registration.

When do I need to pay for my application(s)?

Payment is required on registration.

I paid online by Credit Card. When will I receive a Tax Invoice?

Yes. You will receive a Tax Invoice via email within 14 days.

Are there any refunds?

No. There are no refunds.

JUDGING

Who judges the applications?

The LearnX® Awards judges are selected through a nomination process conducted by previous award winners from an international talent pool. They undergo training on the evaluation process and are chosen based on their expertise in HR talent management, leadership, L&D, EdTech, project management, and enterprise technology. To ensure integrity, fairness, and credibility, the judges’ identities are kept confidential. They are remunerated for their contributions and serve a two-year term, which helps uphold the quality of the awards program and sets LearnX apart from other industry awards. Vendors are not involved in the judging panels or the awards management team.

How are applications judged?

Applications are independently judged on merit using an unbiased scorecard method, not in comparison to other entries. Each enterprise’s projects, teams, and solutions are evaluated based on their unique context. Awards are given based on specific scores, and multiple entries in each category may receive recognition. This method eliminates direct competition between entrants. An entry needs to score 61 or more points to be awarded.

– Platinum Award: 91 — 100 points
– Diamond Award: 81 – 90 points
– Gold Award: 71 – 80 points
– Silver Award: 61 – 70 points

Judges are assigned categories in line with their experience and industry expertise. Each category or application will be evaluated by three judges who will review, assess, and score the applications along with any supporting materials. The scores are then combined and averaged to determine the final score for each application. Judges do not have access to categories that they are not assigned to judge.

Judge's decisions and feedback.

Judges’ decisions are final. Due to the large number of entries, the judges will not provide feedback or engage in discussions regarding the award decisions or the judging process. Thank you for your understanding.

What is the judging order of applications?

Awards are judged in the order of their online submission ‘lodgment time’ in each category. For example, the first award submitted for ‘Best Online Learning Model’ is judged first, and the last award submitted for ‘Best Online Learning Model’ is judged last.

Will the judges make contact for additional information?

Judges may request additional information from entrants if needed. The email request will come from awards@learnx.live and will be generically signed off as the LearnX® Awards Team.

How do the criterion work?

All criteria 1–4 must be fulfilled. Each criterion is limited to 500 words. This limit is automatically monitored as you type in each panel section. Format guides for each criterion are available and can be utilised in whole or in part at the applicant’s discretion.

Each criterion has been allocated a specific score. The highest score for each entry is 100 points. Once an entrant achieves 61 points, they automatically qualify as a nominee/placegetter. The scoring continues as follows:

Applications are evaluated based on merit using a scorecard, rather than through comparative analysis. Projects, teams, and solutions are distinct to each organisation (whether small, medium, or large) and are assessed accordingly. Entries receive awards based on their individual scores, and multiple entries within each category may be recognised. This approach eliminates direct competition among entrants.
An entry must achieve a score of 61 or higher to be eligible for an award.
– Platinum Award: 91 – 100 points
– Diamond Award: 81 – 90 points
– Gold Award: 71 – 80 points
– Silver Award: 61 – 70 points

Future Impact Award
In uncommon circumstances, judges may grant an award based on future impact, even if the project does not fully meet the criteria (for instance, during the project launch and real-world testing phase, etc.). These entrants are encouraged to reapply the following year.

Can judges transfer an application to a different category?

Judges may occasionally reassign an entry to a different category if they believe it fits better there. If this occurs, the entrant will be contacted to discuss options. If you need advice on choosing a category, please contact the awards team before submitting.

Do applications remain confidential?

The LearnX Awards management team and judges keep all entry information strictly confidential. All submitted materials are destroyed after judging.
Judges must disclose conflicts of interest and sign non-disclosure agreements. They only access their assigned entries, and all judging discussions remain strictly private.

Can someone be nominated to be a judge?

Yes. To be accepted for an initial evaluation, a person must have been nominated by three individuals from separate organisations. Self-nominations are not accepted. Nominations for potential judges need to address, in 150 words or fewer, the nominee’s credentials for judging via email to awards@learnx.live.

What makes project-based achievements an ideal benchmark for recognition?

Leadership and industry experts in HR, talent management, learning, and technology place great importance on project dynamics. Projects play a crucial role in driving change by turning enterprise and learning objectives into tangible outcomes and actions. Since LearnX Award applicants come from diverse backgrounds and have varying budget positions and experience levels, direct comparisons are difficult. To ensure a fair assessment, four project criteria are used as the standard for evaluating submissions. Past participants have recommended focusing on projects when preparing award entries, as this approach reduces ambiguity and provides clarity. This enables applicants to tailor their submissions to their project needs, allowing them to be original, inspired, and highlight their best work.

What is a project?

LearnX context:
Project Activities and Initiatives
Projects include, but are not limited to, the following activities:
– Digital & Tech Integration: AI adaptions, digital initiatives, HR talent tech, immersive technologies, learning tech, and virtual reality, etc.

– HR Talent & Learning Strategies: Assessments, campaigns, deployments, developments, implementations, integrations, interventions, and learning models, etc.

Project Scopes & Industries
– Scope & Reach: Projects can vary from short to long durations, affecting the entire enterprise or focusing on a single, specific group.

– Industry Focus: Industry-specific projects can span an entire industry sector or target a precise subgroup.
– Category Flexibility: Entrants are not limited to a single field; projects can be submitted into multiple categories to maximise recognition.
